📥How to set up the integration 

1. Log in to Stadium at bystadium.com
   
   
2. Open the sidebar and navigate to Company Space then click on Integrations
   
   
3. Search for your desired HRIS/ATS platform in the available connections section
   
   
4. Select your platform (e.g., Workday).
   
   
5. Choose the authentication method, confirm your admin access, and review the requested data access.
   
   
6. Enter your platform’s Web Services Endpoint URL.

7. Submit your ISU (Integration System User) credentials.
   
   
8. Stadium will sync your contact data and keep it refreshed every 24 hours.

🔁 HRIS/ATS Data Flows

What are the distinct data flows?

When and how do the data flows trigger?

• Initial Sync: Immediately after submitting endpoint URL and ISU credentials.
  
  
• Automated Sync: Every 24 hours after the first sync.
  
  
• Manual Sync: Click “RESYNC” under the Contacts tab to force an immediate update.
  
  

How to manually trigger data flows

Go to Company Space -> Integrations -> {select more options for active connection and choose resync}. This will re-pull the latest contact data from your HRIS/ATS immediately.

🔧 Setup Issues

Q: Where do I find the Workday Web Services Endpoint URL?
A: Follow this step-by-step guide to locate your endpoint. If needed, your internal Workday admin can also assist.

Q: I don’t have ISU credentials—what should I do?
A: Contact your IT or HRIS admin to request access or credentials for API-level access. You’ll need an Integration System User (ISU) to connect securely.

Q: Why is my sync failing?
A: Common reasons:

• Incorrect ISU credentials.
  
  
• Missing or misconfigured Web Services URL.
  
  
• Platform-level restrictions (firewall, permissions, IP allowlists).
  
  

🧠 Best Practices & Gotchas

Q: Will this integration overwrite my existing contacts?
A: No. It will sync new or updated contacts based on email address matching. If a contact already exists the HRIS contact data gets priority. However the original data remains so if you remove HRIS connection it reverts back to original data

Q: Can I filter which contacts get synced?
A: Not yet. All contacts visible through the integration will be synced. Use audience segmentation in Stadium campaigns to target specific groups.

Q: How secure is this data transfer?
A: All API calls are encrypted using TLS and follow best practices in authentication and credential handling. Stadium uses industry-standard safeguards.

Q: Can I integrate with more than one HRIS or ATS?
A: Yes, but each must be set up independently within the Integrations section.

Scenario 1: I added new employees in Workday—how soon will they appear in Stadium?
→ They’ll appear within 24 hours via auto-sync. Or click RESYNC for immediate access.

Scenario 2: My ISU credentials changed. What do I do?
→ Go to Contacts > Integration Settings > Re-authenticate with new ISU credentials.

Scenario 3: A synced contact has outdated information.
→ Update the record in your HRIS. Stadium will update the info at the next sync or immediately if you trigger RESYNC.

Scenario 4: I want to trigger a gift on a hire anniversary.
→ After syncing, use Stadium’s campaign tools to create an anniversary-based automation using the "hire date" field.
