This article explains the policies, procedures, and costs associated with using pre-purchased inventory on the Stadium platform.

Swag Receiving and Storage

Stadium allows you to store swag purchased from us or send in your own swag to be kept in your Swag Locker Inventory. These items can be used in your shops, gift kits, or bulk shipments.

Below are the costs for receiving and storage:

Receiving Costs:

• Swag bought from Stadium: Free

• Swag sent to Stadium: 15% of the value (covers receiving, sorting, stocking & insurance)

Storage Costs:

• Free storage as long as swag is actively used on the platform

• If no swag activity occurs within a calendar quarter, a $1,500 per quarter fee applies

📦 Need to remove inventory? You can liquidate your locker anytime, but shipping and delivery costs will apply.

Stadium Fulfillment Fees

When you store pre-purchased inventory with Stadium, fulfillment fees apply for shipping and distribution.

Fulfillment Fees:

• US Shipments: $20 per recipient

• International Shipments: $120 per recipient (for kits valued at $100 or less)

• Bulk Shipments: Request a quote from our team

Standard packaging is included; premium packaging is available at an additional cost.

How It Works to Include Pre-Purchased Inventory in Shops

Since you have already paid for the inventory, you can set the list price of the item in your shop.

Note: The list price cannot be lower than the single-item fulfillment fee ($20 for US, $120 for international orders).

When setting up a gift order, the upfront cost breakdown and reconciliation process are as follows:

Initial Cost Summary (Upfront Charges)

• Budget per recipient ($ or points)

• 15% Service Fee based on the allocated budget

• 8.875% Estimated Tax applies to all orders

Reconciliation Cost Summary (Final Costs)

• Fulfillment Fees: $20 (US) / $120 (International)

• 15% Service Fee based on fulfillment

• 8.875% Estimated Tax applies to all orders

How Reconciliation Works

• Each month, the admins receive reimbursement to their wallet for the list price of redeemed items minus fulfillment fees.

• If inventory is shipped internationally, additional fees may owed.

• The tax and service fee only apply to the fulfillment fee, and the difference is reconciled monthly.

Wallet and Withdrawals

• You can use your wallet balance for future Stadium orders or withdraw it to your bank.

  ✅ Wallet funds never expire and can be used for future Stadium orders.
  💰 Withdrawals can be made once a month when the balance reaches $2,000.
  ⚠️ Additional withdrawals or amounts under $2,000 incur a 10% fee.
  📅 To withdraw funds, download the payment request form and submit it to ap@bystadium.com.
  ⚠️ A 10% transaction fee applies to all withdrawals.
  📅 Withdrawals are processed monthly (e.g., a request made on January 15 will be included in the February 7 reconciliation).

Bulk-Only Shops for Business & Enterprise Customers

For bulk orders, admins can avoid the reconciliation process by paying all fulfillment fees upfront. This option is only available for single large orders (e.g., holiday gifts) and not for recurring or ad-hoc orders. Pre-existing net terms apply.
