Creating HubSpot Segments

Log in To Your HubSpot Account

• Go to https://www.hubspot.com/ and log in to your HubSpot account.

Add or Import Contacts

• Navigate to CRM > Contacts

• Click Import to upload contacts or Create Contact to manually add individuals.

Create HubSpot Segments

• Navigate to CRM,
• Click on Lists.

• Click Create List

• Click on Contacts, then click on the NEXT button.

Option 1: Creating a List via Setting Filters (If Using a Dynamic/Active List)

• Choose Active List for dynamic segmentation via filters.
• If you already have a set of data, you can filter that data and create a filter for a dynamic list
• Click on Add filter and complete the process.

Option 2: Creating a List via the Review and Save Button

• Click on Review and Save

Choose the Type of List

Choose between:

• Static List – for manual control (used when your list won’t change)

• Active List – for dynamic segmentation via filters (auto-updated)

For this example, we will choose the Static list

• Click on Save and process list  button to continue

Name Your List

• Enter the name of your list (e.g., Employee Engagement  Q2).

Save and Add Contacts
 

• Once done, click on the Actions button and click on Add contacts

• In the search bar, type the names or emails of the contacts you wish to add.

• Select them from the dropdown suggestions.

• Click “Add Contacts” to confirm.

• Once your list is created and populated, it’s ready to be fetched by Stadium for your automated gifting orders. Make sure you’ve already connected your HubSpot account to Stadium before continuing with the gifting setup.

Integrate the HubSpot List with Stadium

Requirements:

Before proceeding, ensure that your HubSpot account is already connected to Stadium.

Automated Gifting Creation with HubSpot Segments

Navigate to The Automated Gifting Page

• Expand the sidebar menu (if collapsed)
  • Click on the Left-facing arrow ( ˂ ) at the top-left corner of the sidebar to expand the navigation menu.
    (if the menu is already expanded, you can skip this step.)
     
• Navigate to the automated gifting page
  • In the sidebar menu, locate and click on "Automated Gifting" to go to your automated gifting page.

Create New Automation

• Click on the CREATE NEW AUTOMATION button

Fill out The Automation Form

• Complete the Automation form with details:

In the Form:

• Enter Your Automation Name
   

• Choose HubSpot List as the AUTOMATION TYPE

• Select your Integrated CRM Platform
   

• Choose the desired HubSpot List you created earlier
   

•  Define:
  • Start Date & End Date
     
• Select Recipients Type:
  • New Members-  Gifts only for contacts added after the automation starts.
  • New + Existing Members-  Gifts for all contacts present in the list, irrespective of the automation creation date.

Choose a Gift Type
 

Select how You Want to Send Gifts:

• Shop Link – Let recipients choose their own gifts

• Kit Items – Send curated swag or custom bundles

In this example, we will choose the shop link.

• You can either choose from Your Existing Shops 

• Or select from one of our Premade Templates.

• After selecting your shop or template, click the "USE TEMPLATE" button.

Set Treat Budget and Customize Message

• Set your treat budget, then click "NEXT."
• Note that $1 is equal to 50 points.

• Customize your automated gift's message by entering your desired text.
• Then click "NEXT" to continue.

Select A Payment Method

• Choose or add your preferred payment method from the options provided.
• Click CONTINUE to proceed.

Add Billing Information

• Add the Billing Country and Billing ZIP/PIN Code.
• Click CONTINUE to proceed.

Review Conditions and Finalize Your Automation

• Read the conditions and terms carefully.
• Click "SUBMIT" to finalize the automation.

Confirmation

Congratulations! Your automation has been created!
