If you've renewed your Stadium Pass membership and need to upload a new member list, you may be wondering whether you should replace your existing list and how this affects service fee waivers.
This guide explains what happens when you upload a new CSV file, how duplicate records are handled, and the recommended process for managing your member list.
📤 What Happens When I Upload a New Member List?
Uploading a new CSV file will not remove existing contacts or members from your Workspace.
When a new member list is uploaded:
- Duplicate email addresses are automatically detected.
- Existing records with matching email addresses are updated and retained.
- Contacts or members that are not included in the new CSV file will remain in the Workspace.
- No existing contacts are automatically deleted.
Example
If john@example.com already exists in your Workspace and is not included in the newly uploaded CSV file, John will still remain in your Workspace after the upload.
💸 Will Uploading a New List Affect Service Fee Waivers?
The service fee waiver is applied to the members included in your current member list.
Keep the following in mind:
- Members included in the newly uploaded list will receive the service fee waiver.
- Existing members who already have the service fee waiver will continue to have it applied to existing orders and checkouts.
- If a member is removed from the Workspace, future orders and checkouts for that user will no longer qualify for the service fee waiver.

Non-Member users are not counted as active members for service fee waiver eligibility.
✅ Recommended Way to Refresh Your Member List
To ensure your Workspace reflects your current membership roster:
🔍 Step 1: Review Existing Members
- On the Workspace Contacts page, you may click on MANAGE PERMISSIONS or WORKSPACE CONTACTS

From the list of contacts, locate the user(s) who should no longer be part of your Stadium Pass membership.
👤 Step 2: Remove or Downgrade Outdated Members
- Click the disable icon to deactivate the user.
You can either:
- Remove the member from the Workspace entirely, or
- Change their role to Non-Member if you want to keep their account in the Workspace.
📁 Step 3: Upload Your New CSV File
Upload your updated member list.
During the upload:
- Duplicate email addresses will be matched to existing records.
- Existing records will be updated where applicable. If the new CSV contains updated information for an existing user, such as their role, address, or other details, the existing record will be updated with the new information.
- Duplicate entries will not create additional users.
Initiate Adding Contacts
- Click on the ADD CONTACTS button to initiate the process
Download Template
- Click on the UPLOAD CSV
- Click Download Template to fill out the CSV sheet.
Fill out the CSV file
Fill all columns in the CSV file with user details.
Uploading Users with Different Roles
Assign roles under Column Z (admin, sender, or member).
Uploading Users with Similar Roles
- If you are assigning the same role to everyone in your list, you may leave column Z blank, then you can choose the role during the upload process later.
Upload CSV File
Return to the Contacts page and click SEARCH LOCAL DEVICE to upload.
(Optional) Check the box for Let CSV contacts overwrite existing contacts (excluding contacts synced via HRIS) if you want updates to replace current records.

If roles were not specified on the CSV sheet, click the drop-down arrow next to Non-Member role and assign a designated role for the new users. For example, if all users are members only, you can choose the member role.
- Click on ADD USERS to save changes
Confirmation
- Once uploaded, a confirmation message will appear, and the contact list will be updated.
✔️ Step 4: Verify Your Final Member List
After the upload is complete, the members currently designated as active members in your Workspace will be the users eligible for the Stadium Pass service fee waiver.

Before uploading a refreshed member list, remove or downgrade members who should no longer receive Stadium Pass benefits. Then upload your updated CSV file to ensure your Workspace membership accurately reflects the users who should receive service fee waivers going forward.
