User Roles & Permissions for Each Workspace User
Access to “Send Points” or “Send Credits” depends on User Role and the type of Workspace where the shop was created.
1. Shops from a Personal Workspace
- Any user can send points from the catalog if the shop was created in a Personal Workspace.
2. Shops from a Company Workspace
A. Accessed via Direct Shop Link
- Owners will be able to send points to any shops created by other users.
- Senders and Admins can send points from the shop catalog, even if they are not added as “shop users.”
- Members can access the shop catalog via a direct link, but they cannot send points.

Non-members can access shops via the direct shop link if the shop is created in a Company Workspace, and they can send points.
B. Accessed via Received Gifts Page - Owners can send points to any shops in their receive gifts section.
- Senders and Admins can send points after gift redemption, even if they are not added as “shop users.”
- Members can access the shop catalog from received gifts, but they cannot send points.

Non-members can redeem a gift and are able to send points, even if they are not added as a member or shop user.
Steps to Create a Gift Order in a Shop as a Non-Admin
Log in to Your Account
- Open your web browser and go to bystadium.com
- Log in using your credentials.
- Once logged in, you will automatically land in your default Company Workspace.
- If needed, you can change your default Workspace anytime from your Account Settings.
For Users With Multiple Workspaces:
Click the drop-down arrow next to your profile name in the top navigation bar.
Select the Workspace where your shop is created.
Access your Shop
There are two ways to access a shop:
Option 1: Access Shops available in your Received Gifts 🎁
If you have Shop Points from a gift, you can find associated shops in your Received Gifts
Go to your Home Page. Locate the Received Gifts section. From here, you can access the shops where you’ve received gifts.
If there are multiple gifts, click on the three-dots menu (⋯) and select View All Gifts to see all available shop gifts.
Choose a shop from your list of received gifts.
- If you haven't redeemed the gift yet, click the REDEEM button to redeem your points and access the shop catalog.
- If you have already used your points in the shop but want to access the catalog again, click the Continue Shopping button to access the shop catalog again.

Option 2: Access Shops Via a Direct Shop Link🔗
If you received a Shop Link or Gift Invitation Link, simply click the link or copy and paste it into your browser.
Gift Order Creation
Start Sending Points/ Shop Credits
Inside the shop, click the drop-down arrow next to your TOTAL POINTS.
Select "SEND POINTS" or "SEND CREDITS".
Allocate a Budget
- Enter your preferred order name and specify the number of recipients you have, as well as the budget per recipient. It's important to note that the budget won't be visible to your recipients and will automatically convert to points if you opt for this method. Shop credits will be displayed in your currency, but you still have the option to choose your preferred currency from the drop-down menu.
- Select where you would like your recipients to redeem:

In any available shop
- Recipients will be directed to this shop, but can spend points anywhere. They can also forward points.

If you select this option, you won't be able to create an order with a Magic link.

Only in this shop
- Points will be restricted to this shop only and cannot be forwarded.
- For this option, you will be able to use the Magic Link, where you'll have the ability to share an open link to your recipients.

This currency will always match the shop currency.

In any available shop
- Click NEXT to proceed to the next page
Select your Order Type
- Select an order type, whether it's a Restricted Link or a Magic Link.
MagicLink™
MagicLink™ allows you to create an open invitation link that can be shared with anyone, making it ideal when you do not have your recipients’ email addresses ahead of time.
With this option enabled, anyone with access to your link can enter and redeem. Think of it like opening the gates to a private event, while still keeping control over who is approved.
How It Works
- When MagicLink™ is enabled, your invitation link becomes accessible to anyone who has it.
- You can review and approve or deny redemptions after recipients attempt to redeem their gift.
- This gives you flexibility while maintaining control over who receives the gift.
📌Important Notes
- MagicLink™ is only available when sending points or credits restricted to “Shop Points.”
- If you already have some recipient email addresses, you can add them during the order setup.
- These recipients will be automatically pre-approved.
- If you do not have recipient emails:
- Click NEXT to continue setup
- You can approve or reject redemptions later as they come in

Restricted Link
If you prefer the invitation link to be accessible only to specific recipients, you can add their email addresses or upload them later. Email addresses added to the form are pre-approved.
- To enable this, click on Restricted
Add Recipients on the Recipients Redeem Option
- You can enter their email address by selecting from your contact list, uploading a CSV, or you can input the email addresses manually.
Here are several ways to add people to your recipient list:
a) Input emails
- Click on INPUT EMAILS
Personal Workspace View
- Enter the email addresses of the recipients and click on ADD CONTACTS
Company Workspace View
- Enter the email addresses of the recipients.
- Choose a Workspace role.
- Click on ADD CONTACTS.
b) Upload a CSV
You can add them all at once by uploading a CSV file.
- To get started, click on "ADD CSV" and then
Personal Workspace View
- Click on "Download Template" to get the right format.
- Fill out the CSV file with your recipient's information.
- (Optional) Check the box for Let CSV contacts overwrite existing contacts if you want updates to replace current records.
- Once you are done filling out the CSV file, you can upload and click on ADD CONTACTS
Company Workspace View
- Click Download Template to fill out the CSV sheet.
Fill out the CSV file

Fill all columns in the CSV file with user details.
Assign roles under Column Z (admin, sender, member, non-member).
Upload CSV File
- Return to the Contacts page and click SEARCH LOCAL DEVICE to upload.
(Optional) Check the box for Let CSV contacts overwrite existing contacts (excluding contacts synced via HRIS) if you want updates to replace current records.
- If roles were not specified on the CSV sheet, click the drop-down arrow next to Non-Member role and assign a designated role for the new users.
Select Recipients from Your Contact List
Once you have added people to your contact list, or if you already have existing contacts in your list. There are two ways to select recipients for your order:
a) Use Filters To Select Contacts: Use the provided filters to segment your employee list based on specific criteria.
b) Select Contacts Manually: Choose individual employees from your contact list.
- Once the recipient emails are added or selected, click NEXT to proceed.
Set Up The Recipient Experience
Set Up The Message
- Input the Sender Name and add a customized message for your recipients. You'll see a preview of your message on the right.
- Your recipients will see this message on the invitation email and the Recipient's Landing page.
Add a Video Message (Optional)
If you wish to elevate the recipient's redemption experience, you may also add a Video Message.
- Check the box to include a video message. Once your order is placed, email the video to hi@bystadium.com. Ensure the video meets the following:
🎥 Video requirements
Resolution: 720p or 1080p (MP4 format)
Max Length: 10 minutes
Set up The Date of Invitation Links
- Choose when to send the invitation emails:
- You'll have three options for sending your invitation

- Send it immediately after payment
- Custom date for each recipient (ideal for birthdays) - For this option, make sure to download the CSV file, fill it out, and send it to hi@bystadium.com
- Send the link yourself

- Once done, click on the COMPLETE ORDER button
Select Payment Method
- Choose or add your preferred payment method from the options provided.
- Click CONTINUE to proceed.
Add Billing Information
- Add the BILLING COUNTRY and BILLING ZIP CODE.
- Click CONTINUE to proceed.
Process Payment
- On the order summary page, click "PAY NOW."
A confirmation page with the order summary will appear, where you can do the following:
- download the invoice
- expand it to view the order summary
- copy the link or download the QR code
