Creating a swag kit using a shared collection with warehouse items is a simple and efficient process. Follow these step-by-step instructions to streamline the creation of your swag kit.
Note: If the collection is unshared or reshared, the redemption will stop.

Here is the step-by-step guide to creating a Swag Kit from a Shared Locker
Where to locate the Shared Locker
Login
- Visit https://www.bystadium.com/ and log in to your account:
Navigate to My Swag Dashboard
- Click on the drop-down button beside your profile name and select "My Swag"
Locate the Shared Locker
- Make sure to check your My Swag dashboard for the Shared Locker before you start placing an order.
- From the My Swag dashboard, navigate to the INVENTORY tab and check if you can find a Swag Collection with the Shared Locker tag.
Once you have confirmed the Shared Locker on your account, you can go ahead and place an order using the Swag Collection from the Shared Locker.
Create a Kit using the swags from the Shared Locker
Navigate to Kits
- Click on "SEND KIT" then "CREATE A KIT"
Choose a Kit Type
- Choose Kitted Swag Boxes since you want to send out the swag items from your locker's inventory. Then click NEXT to proceed.
Filter Swag Inventory
- Ensure that the country selected is the United States before clicking the filter for "Swag Inventory"
Select and Add Swag Items to your Kit:

- From your Swag Inventory page, select the items you want to include in your kit.
- Specify the quantity of each item you'd like your recipients to receive, then click "ADD TO KIT."
- Click "ADD MORE ITEMS" on the left side if you want to add additional items to your kit.
- Click Swag Inventory again, select another item, and follow the same steps mentioned earlier.

Review Items:
- Review the total quantity of items added next to the US flag. You can click on the arrow to review the names and quantity of the items.
- Once you've finished adding all items to your kit, click "VIEW AND SEND."

Edit Kit Details:
- On the Kits Item page, change the name of the kit for easy reference, then click "NEXT" to continue.
- You can create a global kit if you have non-US recipients.
Indicate the Order Type
- In the Add Recipients section, you can either choose "Recipients Redeem" if you want recipients to redeem from a link or Suprise Recipients if you want to provide the shipping details instead.
Recipients Redeem Option
- If you want to send out invitation links to your recipients, click on "Recipient's Redeem".
- Indicate the total quantity of US and non-US recipients.
Add Recipients on Recipients Redeem Option
- You can enter their email address by selecting from your contact list, uploading a CSV, or you can input the email addresses manually.
Here are several ways to add people to your recipient list:
a. Input emails
- You can add the emails manually by clicking on INPUT EMAILS and entering the email addresses.
b. Upload a CSV
- You can add them all at once by uploading a CSV file. To get started, click on "ADD CSV" and then "Download Template" to get the right format. Once you are done filling out the CSV file you can upload and click on SUBMIT.
c. Integrate your HRIS/ATS system
- Please note that this is only available for Team, Business, or Enterprise accounts).
- You can also integrate your HRIS/ATS system to import recipients seamlessly.
- * To set up an integration with your employee database, click the "Manage Contacts" button to configure the integration. You can refer to the article below on how to set it up.

Select Recipients from Your Contact List
- Once you have added people to your contact list. There are two ways to select recipients for your program:
a. Select Filters For Contacts: Use the provided filters to segment your employee list based on specific criteria.
b. Select Contacts Manually: Choose individual employees from your contact list.
- Once the recipient emails are added or selected, click NEXT to proceed.
Add Recipient Experience
- On the next page, enter the message you wish to appear in the Recipient Landing Page.
- If you wish to add customization, such as a Video Message, check the corresponding box. If not, leave it unchecked and proceed by clicking "NEXT. *This customization is only available if you choose to send invitation links.*
- Select a date when you want the automated emails to be sent out.
- Choose whether you want your recipients to see the items in the kit.
- Click NEXT to proceed.
Surprise Recipients Option
- If you do not want to send invitation links to your recipients and just want to provide the shipping details yourself, click on Surprise Recipients.
- Add the Sender's Name in the FROM section.
Add Recipients on the Surprise Recipients Option
- You can enter their shipping details by selecting from your contact list, downloading the template, uploading an Excel File, or you can input the shipping details manually.
Here are some ways to add recipients to your Surprise Order
a. Upload an Excel Sheet
- You can add recipients all at once by uploading an Excel file.
- Please note that if you wish to download the template you must have all the recipient's addresses and preferences ready to proceed on the next steps.
- If you do not have an address yet, you may leave the order in the cart and just go back to the order later once you have the recipient's shipping details and preferences.
- To get started, click on "UPLOAD SHEET" and then "Download Template" to get the right format.
- Once you have the sheet, enter the name, email address, phone number, shipping details, variant for each item, and restrictions (if applicable).
- Make sure that the email address for each recipient is unique to avoid any issues on the uploads. Don't worry, they won't receive any automated emails from us, we just need the email address to tie their orders to a user account which will allow the system to provide the tracking details for each recipient order.
- Once you are done filling out the Excel file you can upload and click on SUBMIT.
- Your uploaded recipient's information will be processed upon order confirmation. If there are any errors, you'll be notified via email.
- Once uploaded, you will see a confirmation message and the recipient you have uploaded on the Excel sheet will be automatically selected.
- Click NEXT to proceed to the next steps.
b. Input Recipients
- If you are adding new recipients to your order, click on the INPUT RECIPIENTS button.
- Enter the necessary shipping information of your recipient(s).
- You can add as many recipient details as you want, but you must ensure that all necessary details are added to the previous recipient first otherwise the system will not allow you to add the next one.
- You can also delete or update recipient details during this process.
- Once you are done adding all recipients, click on the SAVE button.
Selecting Contacts from Your Contact List.
- Once all your recipients are added or if they are already in your contact list, you can proceed with selecting the contacts.
- If your selected contact has missing information such as the name, phone number, or address, the system will ask you to provide these details after clicking the NEXT button.
- Add the missing recipient details and click SAVE to proceed.
- Once your selected contact already has the necessary shipping details you may click NEXT to proceed.
Choose Preferences
- On the next page, you will be asked to select the color, sizing, etc. (if applicable) for each of your recipients.
Items with Multiple Variants
- Some apparel items may come with multiple color variants and sizes.

If applicable, please make sure that you check the size guidelines to ensure accurate size selections.
- If you are done adding their preference, click on the NEXT button to proceed.
Items with a Single Variant
- For items that only have one variant, just click on the NEXT button to proceed.
Upload Preferences later
- If you do not have their sizes or preferences yet, you may click on "SKIP, I'LL ADD LATER" to skip adding for all recipients.
- You may also click on the (-) icon if you only want to skip choosing the preferences for specific recipients.

Customizations
Add Customizations
- Select any customizations you'd like to add, such as a branded sticker or custom-printed note.
- Upload the logos needed for each customization like the box sticker and custom note (if applicable).

Branded Sticker
- This pop-up will appear when you click the UPLOAD IMAGE link under Branded Box Sticker. Please ensure the image is 11 x 4 inches and no more than 5MB in size. Once uploaded click SAVE.
Custom Printed Note

Upload an Image
This pop-up will appear when you click the ADD CUSTOM NOTE link under Custom note. You may upload an image by clicking on MY DEVICE if you wish to add your own customized note. Please make sure to follow the specs specified to avoid issues with printing.

Write a Note
Alternatively, you may also write a message on your custom note by clicking Write Note. Please note that the maximum number of characters allowed is 500 including the spaces.
Once you are finished click SAVE to continue
Once done, click NEXT to proceed.
Note: The box customization option is only available for Kits containing swag items exclusively sourced from the US Warehouse.
Select Payment Method
- Choose or add your preferred payment method from the options provided.
- Scroll down and add the BILLING COUNTRY and BILLING ZIP CODE.
- Click NEXT to proceed.

Review Order and Finalized the Payment:
- Review the summary of your order before proceeding to payment.
- Once you are satisfied, click PAY NOW to complete the payment.
Confirmation:
- Congratulations! Your order has been created! You can download your invoice by clicking the download button.
- Please note that a RESTOCK ITEMS button will show up if you do not have enough items at the warehouse.
- If you haven't sent the items to our warehouse yet, instructions on how to send them will show up on the confirmation page.
- To close this window, simply click on the X or DONE button.
